3. Tendering and awarding contracts
As experienced construction managers, we offer a comprehensive package of services related to the tendering and awarding of your contracts. We create the necessary lists of specifications, materials and quantities, assist in choosing the right bidders, send the necessary documentation, and support you in your discussions and negotiations with contractors.
3.1 Specifications and quantity lists
For each tender, an exact description of the services required is essential. During the planning process, the individual parts of the construction process are divided into the smallest service units possible that become line items with a fixed and precise definition of the quality expected. These line items are what allow construction companies to make effective bids and they also allow us to create specifications assigned to specific trades. These specifications are drafted based on the current version of Part C of the General Regulations for Bids and Contracts in the Construction Industry (VOB) We provide the specifications we draft both in paper form and electronically in PDF format or GAEBFormat (90, 2000, XML), as desired.
The quantities included in the specifications are calculated with CAD precision with exact dimensions that allow all of the quantities and costs for materials to be itemized for each phase of the construction, which, in turn, helps with your bookkeeping and cost calculations.
3.2 Exact cost calculations
Determining the specifications and quantities allows us to give you an exact calculation of your costs. Our many years of experience in the industry gives us reliable knowledge of the customary prices on the market as well as quickly and efficiently negotiate the prices for special services.
3.3 Tender management
We can handle all aspects of this from writing the tender to reviewing the bidders, sending out the tender documents and negotiating with the bidders. We will use wealth of experience to create lists of bidder best suited for your project and from which you can choose. In addition, we will send any required tender documents to bidders and accept their bids on your behalf. Absolute accuracy is a must, especially for industrial and commercial projects.
3.3.1 Handling queries during the bidding phase
Even the most accurate descriptions of the services required will not obviate questions from potential bidders. Acting as your construction managers, we make ourselves available to your bidders at all times and thus relieve you from that aspect of your role as a client.
3.3.2 Preparing all of the documents required for flat bids
Usually, contracts in construction are done on a flat-fee basis. This means that you won’t be paying contractors based on the quantity of work required and performed, but according to a price set in advance. The contractor then assumes the risk of being over or under. To protect the client from subsequent demands for payment, it is important that all of the requirements and services are detailed in the contracts with precision. We provide precise and accurate compilation of documents including the list of services, the required standard, negotiation records and plans. These are the foundations for a building contract that will protect you against additional claims later on.
